OLMS Lead Assignment and Floor Schedule Answers
Administrators/Team Leaders: You will only receive an email/text when a new lead arrives if it is not automatically assigned to someone.
Basically if you do not have the floor schedule active and populated and you manually assign all leads.
This way you will know when a new lead comes in and you will be able to go in and assign it.If you are the administrator/team leader and you are the only person on the floor schedule, all leads will be assigned to you and you will receive an email/text with the lead details as soon as it's assigned.
This will eliminate you getting 2 emails/texts (1 when the lead comes in and another when it's assigned)If you are the administrator and you have additional team leaders or employees underneath you, they will receive an email/text when the lead is assigned to them.
If you do it manually, you will get the original notification and they will get one once the lead is assigned.
If you are using the floor scheduler and the leads are automatically assigned, you will not receive ANY notification, but the team leader/employee will receive the email/text with the lead details._______________________________________________________________ I would highly recommend everyone using the floor scheduler to reduce manual labor and the response time to calling leads. It's very simple, just follow these steps:
1) Click "edit" next to the person's name
2) Make sure that "Auto Assigning On" has been checked and is green
3) Click on "Floor Schedule" at the top of the page
4) Click "edit" next to each day of the week and add the floor shifts
a. You can add multiple shifts if you have multiple agents
b. Not every minute of the day has to be accounted for
i. All leads that come in between the last shift of the day and midnight are automatically assigned to the person that had the last shift
ii. All leads that come in between midnight and the first shift of the day are automatically assigned to the person that has the first shift
5) Select the month to populate (current or next month only) and select "Click to Populate Shifts"
6) You can then click on the "edit" in each day of the calendar to make changes to who has the shift.
7) Remember to make sure this is set before the first of each month.
